This is a great opportunity to join American Express Technology's Global Loyalty & Benefits team. We are looking for a strong, forward-thinking, high-energy colleague to support the Vice President of Product Management by providing occasional ad hoc assistance for the wider needs of the team. Additionally, this role will lead projects/programmes designed to enhance team culture, teamwork and employee engagement eg team building, community service, social events and the like. The Executive Administrative Assistant is responsible for providing an exceptional standard of support to AET's Vice President of Product Management in the Business Platforms in Technology team. They will work autonomously and efficiently, anticipating the leader's needs and 'connecting the dots' behind the scenes. We are looking for an ideal candidate who is highly energetic, organised, flexible and credible and is used to working in a fast paced and sometimes high pressure environment with many conflicting priorities. The Vice President has a very active schedule and large organization in Phoenix, UK and New York, along with many other members of leadership globally. The Executive Administrative Assistant must be entrepreneurial and must interact regularly with the Vice President's team and other senior assistant leaders, as well as senior leadership teams and business leaders. The individual must be able to manage their time and priorities effectively and keep the Vice President updated on any issues that arise in her absence.
Specific responsibilities include:
- Comprehensive VP meeting and calendar management, including coordination and proactive maintenance of calendars, including scheduling meetings across time zones, with a high level of tact and integrity.
- Assist VP of Product Management with email delegation, book meetings, react and correspond accordingly, proactively prioritize what is important and urgent, confirm receipts/responses on behalf. Functions as co-team lead and primary point of contact with the VP of Engineering Management liaising with the GLB management team to ensure priorities and scheduling elements are aligned for the leadership team.
- Work with Assistant Manager to prioritize and complete organizational meetings, town halls, team events, and general priorities. Coordinate conferences and staff meetings including room reservations, ensure all attendees are available when/if schedules, catering, security, etc. They change.
- Create, maintain, and monitor team org charts, mailing lists, and Slack channels on a regular basis, and ensure the rest of the management team does the same every month. Coordinate domestic and international travel, including flights, lodging, transportation, and other travel-related needs, coordinating with other Amex offices for internal meetings and handling last-minute changes as needed.
- Process monthly expense reports in a timely manner in Concur. Support ad hoc project work as directed by leadership.
- Provide detailed travel itineraries, including hotel arrangements, transfers, scheduled meetings, contact details, meeting rooms, driving directions, etc. Excellent verbal and written communication skills, including excellent command of English grammar and business writing.
- Mastery of the Microsoft Office package. Exceptional skills in handling multiple tasks smoothly with excellent attention to detail.
- Manage the procurement of office supplies and other departmental needs. Provide cover for other team based executive/administrative assistants who are on holiday or sick leave.

- Proficient in the application and understanding of all Amex internal systems, Microsoft systems, and Amex processes and policies, such as the online travel booking tool, HR systems, expense management systems, of purchase, the intranet are useful. Demonstrate a dedicated problem-solving approach with strong decision-making skills.

- Salary range: $24.05 to $48.10 per hour + bonuses + benefits
